Email Disclaimer Generator

This email disclaimer generator writes a confidentiality, legal, GDPR privacy, medical or financial notice with your company name, in short or standard length. Copy it as plain text or as small gray HTML with inline styles for signatures and footers. It is a template, not legal advice, and disclaimers have limited legal force.

Shown after the company name. The medical notice names HIPAA only for the United States or an empty region.

Used in the GDPR notice for data requests.

How to Use the Email Disclaimer Generator

Create an email disclaimer in four steps, then paste it into your signature or server footer.

  1. Enter the company or organization name that sends the email.
  2. Choose the disclaimer type and length, and add a region or privacy contact if they apply.
  3. Select Generate disclaimer and read the wording in the preview.
  4. Copy the plain-text or HTML version into your signature or mail server footer.

Email Disclaimer Examples

The generator writes five kinds of email disclaimer, each in generic wording that you should check against the rules for your organization.

Confidential Email Disclaimer

The confidentiality notice tells a wrong recipient that the message is private and asks them to notify the sender and delete it. The standard length adds a sentence on viruses, which reminds recipients to run their own checks.

HIPAA Email Disclaimer

The medical notice states that the email may contain protected health information and that sharing it is prohibited. It names HIPAA when the region is empty or the United States, and refers to applicable health privacy laws elsewhere. A disclaimer does not make email HIPAA compliant, because encryption and access controls still matter.

Email Disclaimer for Privacy

The GDPR variant says which personal data the company processes in email and points to its privacy notice under Articles 13 and 14 of the GDPR. It lists the rights readers can exercise and the address for requests, so add your privacy contact.

Email Legal Disclaimer Template

The legal notice states that an email does not form a contract unless an authorized person confirms it in writing. The financial notice adds that the message is not investment advice or an offer to buy or sell. Regulated firms should compare both with the exact wording their regulator expects.

Frequently Asked Questions

Are Email Disclaimers Legally Binding?

Usually not on their own, because the recipient never agreed to the text at the bottom of an email. A disclaimer can still show that the sender treated the information as confidential, which may help in a dispute.

What Should an Email Disclaimer Contain?

Name the sender's organization, state what the notice covers and tell a wrong recipient what to do. Keep it short and specific, because long boilerplate is rarely read and can push important content out of view.

How Do I Put a Disclaimer on My Email?

Paste the plain-text or HTML version into the signature settings of your email client. To add it to every message from an organization, set it as a footer or disclaimer rule on the mail server instead.

Do You Need a Disclaimer on Email?

A general confidentiality disclaimer is rarely required by law. Some countries do require company emails to show registration details, and some industries expect specific notices, so check the rules that apply to you.
